A risk assessment template must be completed prior to a trip, event or travel by the organiser

Process for Event Risk Assessment 
  • A risk assessment should be completed for any events on/off campus related to University activity (if not already captured in the School/ Function Safety Arrangements and Risk Assessments document) business or community involvement, including but not limited to: exhibitions, ceremonies, launches, receptions,  official/VIP visits, festivals, commemorations, concerts, celebratory gatherings, conferences, open days, fundraising or recreational events.
  • The Event organiser completes Event Risk Assessment Template
  • The event risk assessment template includes guidelines for completion provided by the Safety, Health and Welfare Office.
  • The Head of School/Function will review, approve and sign off on these events.
  • In accordance with guidance provided in the appendices, certain event categories are escalated to the SHW Office for review at least 10 working days in advance of the event.
  • The SHW Administrator receives the escalated risk assessment and forwards it to the relevant Occupational Health Advisor (OHA) with responsibility for the Faculty/Function.
  • The OHA reviews the escalated event risk assessment and emails the event organiser to confirm satisfaction with the content provided or to advise if further information is required.
  • Where further information is required, the event organiser updates the risk assessment.
Process for Trips/Travel Risk Assessment
  • A risk assessment should be completed for any trips/travel related to University business (if not already included in the Schools Safety Arrangements and Risk Assessments document).
  • The Trip organiser completes TRIP Risk Assessment Template V3 April 20231
  • The trip risk assessment template includes guidelines for completion provided by the Safety, Health and Welfare Office. 
  • The Head of School/Function will review, approve and sign off on the trip.
  • In accordance with guidance provided on the standard template, certain trip categories are escalated to the SHW Office for review at least 10 working days in advance of the trip.
  • The SHW Administrator receives the escalated risk assessment and forwards it to the relevant Occupational Health Advisor (OHA) with responsibility for the Faculty/Function.
  • The OHA reviews the escalated trip risk assessment and emails the event organiser to confirm satisfaction with the content provided or to advise if further information is required.
  • Where further information is required, the event organiser updates the risk assessment.
